Work Schedule:
In-office | Monday – Friday | 9:00 AM – 5:00 PM EST (7.5 hours/day)

Pay Rate:
$19.73 per hour (W2) + Sick Leave Benefits

Position Overview

We are seeking a highly organized and proactive Administrative Assistant to support three executive leaders — the Chief Engagement Officer, Chief Data Officer, and Assistant Secretary of Strategy & Planning — while providing essential reception coverage for our Boston office.

The ideal candidate will be an experienced administrative professional with excellent communication skills, strong attention to detail, and the ability to manage shifting priorities in a fast-paced, high-visibility environment.

All job offers are contingent upon successful completion of a CORI background check, security fingerprinting, and security compliance training.


Key Responsibilities

  • Provide centralized executive administrative support for three senior leaders

  • Serve as receptionist: greet visitors, manage calls, distribute mail, and coordinate facility requests

  • Manage complex calendars, recurring meetings, logistics, and cross-agency engagements

  • Coordinate travel arrangements, expense reports, and procurement paperwork

  • Maintain shared drives and digital documentation ensuring organization and version control

  • Record meeting minutes and assist with project tracking for strategic initiatives

  • Prepare briefings, presentation materials, and written communications for stakeholders

  • Support hiring and onboarding activities for the Data Office


Preferred Qualifications

  • 2+ years of experience supporting leadership or executive-level teams

  • Excellent written and verbal communication skills

  • Ability to multitask and prioritize workload effectively under deadlines

  • Strong skills in MS Office: Outlook, Word, Excel, PowerPoint

  • Ability to work independently while maintaining strong teamwork skills

  • High level of discretion when handling confidential information

  • Friendly, professional, and service-oriented approach in a collaborative environment

  • Experience managing complex calendars and events a plus
